This policy explains what personal data Samcom Technologies collects through this website and our direct contact channels, why, who else handles it, how long we keep it, and the rights you have. We have written it to describe what our systems actually do.
1. Who we are
Samcom Technologies is a partnership firm registered in India, at 4th Floor, 18-19, 4D Square Mall, Motera, Ahmedabad, Gujarat 380005, India. We are the data fiduciary (under Indian law) and the controller (under the GDPR) for the personal data described here.
This policy covers this website, enquiries you send us, calls to our phone numbers, and conversations with our live chat, WhatsApp chatbot and AI voice agent. It does not cover systems we build or run for clients: where we handle our clients' customers' data, we do so on the client's instructions under our contract with them, and the client's own privacy notice applies.
2. What we collect
Information you give us
- Enquiry and demo forms: your name, email, phone number, company, the service you are asking about, budget and your message.
- Booking a call: your name, email, phone number, the topic, and the date and time you choose.
- Live chat (our own platform, Pingly): your name, phone number, email and reason for chatting, and the messages you send. Replies may come from a person or from an AI assistant.
- WhatsApp chatbot and AI voice agent (+91 93165 76115): your phone number, what you type or say, and recordings and transcripts of the conversation. You are talking to an AI system on this number, not a person, until it transfers you.
- Email, phone and WhatsApp to our team, and job applications sent to hr@samcomtechnologies.com, including your CV.
Please do not send us sensitive information (health, financial account details, government ID numbers) through any of these channels. We do not need it to answer an enquiry.
Information collected automatically
- With every form submission or booking: your IP address, used to limit abuse (no more than five submissions an hour from one address).
- Server logs: every request to this website records the IP address, date and time, the page requested and your browser type. We use these only for security and fault-finding.
- Security blocking: addresses that probe the site for weaknesses are blocked automatically for up to 24 hours.
- Google Analytics, only if you accept: pages viewed, how you arrived, approximate location (city level), device and browser type, and a random cookie ID. When you send an enquiry, Analytics records that an enquiry was made and which form was used; it never receives what you wrote.
- Google reCAPTCHA, on the contact page: information about your device and how you use the page, sent to Google to check the form is being filled in by a person and not a bot.
3. Why we use it, and on what basis
- To answer your enquiry, hold your booked call, and hold the conversation you started — because you gave us the information for that purpose. For visitors in the EU and UK, this is to take steps at your request before a contract.
- To prepare proposals and deliver services you engage us for — to perform our contract with you.
- To keep the website and our forms secure (IP addresses, logs, blocking, reCAPTCHA) — our legitimate interest in preventing abuse, and a legitimate use under Indian law.
- To understand which pages are useful, and to measure which of our Google ads lead to enquiries — only with your consent, which you can withdraw at any time.
- To keep business, tax and accounting records — to comply with Indian law.
- To consider your job application — because you sent it to us for that purpose.
We do not sell your personal data, rent it, or use it for automated decisions that have legal or similarly significant effects on you.
4. Cookies and browser storage
Nothing that tracks you is loaded until you choose. On your first visit we ask whether you accept analytics and live chat. If you decline, neither Google Analytics nor the chat widget loads, and you can still reach us by form, email, WhatsApp or phone. You can change your choice at any time:

The contact page also loads Google reCAPTCHA, which Google needs for security; it may set its own cookies. Google's Privacy Policy and Terms of Service apply to it.
5. Who else handles your data
We use a small number of service providers, who process data for us under their own terms and security measures:
- Akamai (Linode) hosts this website and our form handler, on servers in Mumbai, India.
- Google delivers our email (enquiries arrive in our Gmail inboxes), runs Google Analytics and Google Ads measurement if you accept, and runs reCAPTCHA.
- Pingly, our own messaging platform, stores live chat and WhatsApp conversations.
- Speech-recognition, text-to-speech and AI language-model providers process calls and messages to our AI voice agent and chatbot so that it can understand and reply.
We may also disclose data where Indian law or a lawful order requires it, or to protect our rights in a legal dispute.
6. Data sent outside India
Google and some of our AI providers process data in other countries, including the United States. Where you are in the EU or UK, these transfers rely on the safeguards those providers offer, such as standard contractual clauses. We do not transfer personal data to any country the Government of India has restricted.
7. How long we keep it
- Enquiries and demo requests: 3 years from when you sent them, then deleted automatically from our server. Copies in our email inboxes are deleted on the same schedule.
- Call bookings: 1 year from when you booked, and never before the booked date has passed.
- IP addresses stored with an enquiry or booking: removed automatically after 30 days.
- Server logs: 14 days.
- Security blocks: up to 24 hours.
- Live chat, WhatsApp chatbot and AI voice agent conversations, recordings and transcripts: kept until we delete them. You can ask us to delete yours at any time.
- Job applications and CVs: 1 year, unless we hire you.
- Google Analytics data: no longer than 14 months.
- Client project, contract and billing records: for as long as Indian tax and accounting law requires.
8. How we protect it
All traffic to this website is encrypted (HTTPS). Enquiry and booking records are stored on our server in files readable only by the service that writes them, access to our systems is limited to our own staff, and our servers are protected by firewalls and automatic blocking of hostile traffic. No system is perfectly secure; if a breach affecting your data occurs, we will tell you and the authorities as the law requires.
9. Your rights
Under India's Digital Personal Data Protection Act, 2023, you can ask us:
- for a summary of the personal data we hold about you and how we use it;
- to correct, complete or update it;
- to erase it, where we no longer need it for the purpose you gave it or to comply with the law;
- to withdraw consent you gave (it does not affect what we did before);
- to nominate someone to exercise these rights for you if you die or become unable to; and
- to resolve a grievance about how we have handled your data.
If you are in the EU or UK, you also have the rights to access, rectification, erasure, restriction, data portability and objection under the GDPR, and the right to complain to your local data protection authority.
To use any of these rights, email privacy@samcomtechnologies.com. We may need to confirm your identity first. We will acknowledge your request within 7 days and respond in full within 30 days.

If you are not satisfied with our response, you may complain to the Data Protection Board of India.
11. Children
This website and our services are meant for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from children. If you believe a child has sent us their data, contact us and we will delete it.
12. Changes to this policy
If we change how we handle personal data, we will update this page and the date at the top. Where a change affects something you consented to, we will ask again.
